Hotel housekeeping software: how modern hotels run the attendant team

Housekeeping is most hotels' largest operating cost after the front desk. At the same time it is the part most often run on paper and radio calls. Housekeeping software turns cleaning into a measurable process: who is cleaning which room, since when, how long it takes, who inspected it and whether it is ready to sell. Here is what a modern system should do.

Two-axis room status: occupancy and cleanliness are different things

The classic mistake of simple systems is a single room status. In reality a room has two independent axes: occupancy (vacant, occupied, blocked, out of service) and cleanliness (dirty, clean, inspected, pickup). A guest can be in a dirty room; a clean room can be blocked for maintenance. Hosterio tracks both axes separately, with an audit record of every change: who flipped the status, when, from where and why.

The life of a task

A good housekeeping module creates tasks itself: a departure clean on checkout, stayover refreshes on schedule, an evening turndown where offered. Priority and estimated time are computed from the next arrival: a room with a guest waiting at the desk becomes urgent automatically. An attendant claims a task with one tap (the system guarantees two people can never claim the same room), starts a timer, can pause with accurate time accounting, works through a checklist, photographs problems and finishes. A discovered fault goes straight to maintenance, photos attached.

Do-not-disturb and no-service guests

The DND sign is daily reality that paper lists ignore. In Hosterio, DND defers the task, flags the room and re-queues it after a configurable interval; a second skip escalates to a supervisor. A guest who has explicitly declined service (for the day or the whole stay) is recorded and respected by every automated process, including the overnight planning run.

Inspections and quality control

A cleaned room is not a sellable room. Hosterio's inspection loop: a supervisor check (by someone other than the attendant who cleaned); a failed inspection sends the room back to dirty with a corrective task, and a pass makes it sale-ready. The system suggests spot-checks on every Nth self-completed room, keeping quality up without inspecting everything.

The supervisor console and the mobile app

The supervisor sees everything live: who is working which room and for how many minutes, which rooms are waiting, which are deferred for DND, which guests are queued at the desk. Attendants work from a mobile web app with big touch targets: a priority-ordered queue, timers, quick minibar and supplies posting. When a queued room passes inspection, the guest automatically receives a "your room is ready" SMS or email.

What the hotel gains

Measurability (real minutes per room, per attendant, per room type), a 14-day staffing forecast built from departures and stayovers, a lost-and-found register with retention dates, and fewer empty corridor runs. Hosterio's housekeeping module lives in the same system as reservations and the front desk: no syncing, no second login.
